Registration Confirmation Process

Upon registration for the APAA Council Meeting please be advise the following process will occur:

For all online registrations, an automatic email will be generated and sent after the form has been completed to acknowledge your information has been received. In approximate 7 working days, a further email confirmation will be sent confirming registration and payment. If your registration is not paid, you will receive a not paid reminder.

For all hard copy registrations received, an email (if email address is provided) confirmation will be sent confirming registration and payment. If your registration is not paid, you will receive a not paid reminder.

Please read through the following information carefully before completing the Registration Forms.

APAA Members are entitled to attend the 54 th Council Meeting. Persons who are not members of APAA must fit into one of the following categories in order to attend:

  • Accompanying Office Personnel (AOP) – Each APAA Member is entitled to bring up to two AOP’s as defined by the statutes, regulations and practice of APAA.
  • Observer – People who are not APAA Members may qualify to attend as an Observer, as defined by the statutes, registrations and practice of APAA. Such persons may attend and must pay the Observer registration fee. Observers need to be sponsoered by an APAA Member who must complete and return the Observer Sponsorship Letter. Observer protocols are set out in the Sponsorship Letter and need to be correctly followed.

  • Accompanying Family Person (AFP) – A family member of a person otherwise registered to attend.

Please note that all persons intending to attend any part of the conference must register.

Entitlements

APAA Members, Observers and Accompanying; Office Personnel (AOP)
The registration fee entitles all Delegates to the following:

  • Attendance at Standing Committee Meetings and Workshops
  • All official documentation including programme booklet and list of Attendees
  • Opening Ceremony
  • Welcome Reception
  • Discover Australia Night
  • Final Banquet
  • Hospitality Suite
  • Excursion Day Tours
  • Morning and Afternoon Teas
  • Lunches
  • Satchel

NB: Only Councilors may attend the morning session of the Council Meeting.

Accompanying Family Persons (AFP)
The registration fee entitles the Accompanying Family Person to:

  • Opening Ceremony
  • Welcome Reception
  • Discover Australia Night
  • Final Banquet
  • Excursion Day Tours
  • AFP Tours
  • Morning and Afternoon Teas
  • Lunches
  • Satchel

Payment of Fees

NOTE:  Registrations will not be processed or confirmed until payment in full is received.

Payment may be made by cheque or credit card. MasterCard and Visa are the only credit cards accepted at the council meeting. Please note all transactions by credit card will appear on your statement as payment to “Conference by THPL”.

Cheques should be made payable to “APAA 2007 Council Meeting”. Your name and full address should be typed or printed clearly on the back of the cheque. Cheque payments from overseas must be a bank cheque in Australian Dollars drawn on an Australian Bank. No other currency will be accepted

We are unable to accept payment by “direct transfer”.

Acknowledgements

Your registration and payment will be acknowledged via email or post with confirmation of your requirements according to your Registration Form. Your registration will not be processed or confirmed if payment does not accompany your Registration Form.

Please note, you will not receive any further publications before the Conference. Your letter of acknowledgment will include any further advice necessary prior to your arrival at the Conference. You will receive the final programme and a list of Attendees upon arrival.

Hospitality Suite

A Hospitality Suite will be available in the Adelaide Convention Centre from 2200 hours each day (except on Monday, the Excursion Day). The Hospitality Suite is not a part of the registration fees for the Conference. The Hospitality Suite is being sponsored by the Recognised Group of Australia who invite all Attendees to enjoy some typical Australian hospitality.

Please note that the Adelaide Convention Centre is a licensed venue. As such, it is not possible to bring your own alcohol to the Hospitality Suite.

Cancellation And Refund Policy

Cancellations must be notified in writing to the Conference Managers.

Registration Fees:

  • By 20 August 2007, cancellation will incur a A$200.00 fee. 
  • From 21 August to 8 October 2007, cancellation will result in a 50% refund of fees paid.
  • After 8 October 2007 no refunds are available.

Accommodation:

  • All deposits must be paid by 15 October 2007.
  • Any deposit is non-refundable after 15 October 2007.

Social:

  • Payments are non-refundable after 15 October 2007.

Tours:

  • Payments are non-refundable after 8 October 2007.

Registration Identification

Each Attendee for the Conference will receive a name badge on registration. The name badge will be your official pass and must be clearly visible at all times to obtain entry to the official programme and to social functions.

Australian Visa Application

All travellers to Australia, other than Australian and New Zealand citizens, are legally required to hold a valid visa to travel to Australia.

Visas are either issued electronically (ETA) with nothing appearing in the passport or through application where a sticker is required in the passport (Non-ETA).

You are advised to apply for your visa as soon as possible to ensure adequate processing time The minimum time frame for an Australian visa application is normally six (6) weeks. Your travel agent will assist.

Registration and Tour Desk

The Registration Desk will be located in Foyer F and Foyer G of the Adelaide Convention Centre and will operate as follows:

  • Saturday 17 November 0800 – 2000 hours 
  • Sunday 18 November 0800 – 1730 hours
  • Monday 19 November 0800 – 0930 hours
  • Tuesday 20 November 0800 – 1730 hours

Representatives of the Conference Managers will be onsite for enquiries at other times. Tour Hosts staff may be identified by a bright pink jacket.

Insurance

Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Conference and book your travel, you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Conference, or through cancellation of the Conference, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre-booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Conference Managers cannot take any responsibility for any Attendees failing to arrange their own insurance. This insurance should be purchased in your country of origin.

Private Touring / Hospitality Arrangements

Should you have any specialised group requirements for private touring, transportation or hospitality services other than those organised for the official program, please contact the Conference Managers who would be pleased to assist with arrangements.

Private Functions

Formal private functions are not permitted during the period of the official programme, being 17-20 November 2007 (inclusive).
